Terms & Conditions – Songscape Songwriting Camp
Effective date: September 11, 2025
These Terms & Conditions (“T&Cs”) govern your registration and participation in the Songscape songwriting camp (“Camp”) organised by Altered Music (“we”, “us”, “our”). By registering for the Camp, you agree to be bound by these T&Cs.

2. Registration & Payment
2.1 Eligibility: Registration is open to individuals who meet any age or other requirements as specified by us. If you are under the age of majority under Belgian law, we require consent from your parent or legal guardian.
2.2 How to register: You must complete the registration form and pay any required fees by the deadlines specified. Registration is not confirmed until payment has been received and all required information is submitted.
2.3 Fees & Payment: All fees are as stated on our website or in our communications. Payments must be in the currency stated (Euros), via the payment methods accepted. Late or missing payment may lead to cancellation of your registration, at our discretion.
3. Obligations of Participants
3.1 Behaviour & safety: You agree to follow all instructions from Camp staff and to behave responsibly. You agree to comply with any rules of the venue or location (including safety rules, house rules, conduct, etc.).
3.2 Equipment & personal property: You are responsible for your own equipment, personal items, travel and any other personal arrangements. We are not responsible for loss, theft, damage or malfunction of your personal property.
3.3 Health & special requirements: You must inform us in advance of any medical, dietary, accessibility or other special needs, or any condition that might affect your participation. You attend at your own risk.
4. Liability & Disclaimers
4.1 General disclaimer: To the fullest extent permitted by law, Altered Music (including its directors, employees, contractors, agents) is not liable for any loss, damage or harm of any kind, whether direct, indirect, special, punitive, incidental, or consequential, arising out of or in connection with registration for, or participation in, the Camp. This includes, without limitation:

personal injury, illness, or death;

damage to, loss or theft of personal property;

failure or interruption of equipment or facilities;

delay, cancellation or change in program (including instructors, schedule, venue or content);
-
travel to/from the camp, accommodation, meals, and other logistics;

any other cost, expense or liability.
4.2 Force Majeure: We will not be liable for failure or delay in performance caused by events beyond our reasonable control, including but not limited to natural disasters, extreme weather, acts of God, government actions, pandemic, epidemics or health-emergencies, strikes, transport disruptions, power/internet outage, venue issues, etc.
4.3 Insurance: You are strongly encouraged to obtain your own travel, health, liability, and personal property insurance to cover risks associated with attending the Camp. We do not provide any insurance of this kind.
4.4 Maximum liability: If, notwithstanding the foregoing disclaimers, the law requires us to accept liability, then our liability shall be limited to the amount of the registration fee you have paid.
5. Intellectual Property
5.1 Copyright in songwriting: All copyrights in the lyrics, compositions, and musical works created by participants during the Camp (“Participant Works”) remain solely with the writer(s) and are not transferred to Altered Music or Altered Records (the label division of Altered Music). You grant us a non-exclusive, royalty-free licence to display Participant Works for promotional, archival, educational or marketing purposes (e.g. on our website, social media, future materials). If you prefer otherwise, please contact us.
5.2 Exclusive label option: Where sound recordings of Participant Works are made during or after the Camp, the respective participants who are the writer(s) of those Participant Works and/or performers on these recordings agree that Altered Records (the label division of Altered Music) shall have an exclusive first option to enter into a recording agreement for the exploitation and release of such recordings. This option relates solely to the neighbouring rights in the sound recording, not to the underlying songwriting copyrights.
5.3 Option period: The option is valid for a period of one (1) month after the later of (a) the end of the Camp, or (b) the date the relevant song is completed.
5.4 Exercise of option: If Altered Records wishes to exercise the option, it must notify the participant(s) in writing within the option period. Commercial terms, royalties and rights will then be negotiated and set out in a separate recording agreement between Altered Records and the participant(s).
5.5 Expiry of option: If Altered Records does not exercise the option within the option period, the participant(s) are free to exploit or release the recordings elsewhere.
5.6 Camp materials: All materials, instruction content, handouts, recordings, etc., provided by us remain our intellectual property unless otherwise stated. You agree not to reproduce or distribute without permission.
6. Privacy & Data Protection
Your personal data will be handled in accordance with our Privacy Policy. By registering, you consent to our collection, use and disclosure of your data as described in the Privacy Policy.
7. Changes, Cancellation & Refunds
7.1 Organiser-initiated changes: We reserve the right to cancel or postpone the Camp (or part of it), change dates, location, instructors or programme for any reason (including for force majeure). We will notify you as soon as reasonably possible. Where possible, we will offer a substitute or reschedule; or offer a refund of fees paid. Except as stated, we are not liable for any additional costs you incur (travel, lodging etc.).
7.2 Participant cancellation: Once registration is confirmed, the Camp is generally non-cancellable and non-refundable. A participant may request a refund or credit only for valid medical reasons, subject to the following conditions:

Written notice and a licensed doctor's certificate or medical note must be provided to info@songscape.be at least 7 days before the start of the Camp to qualify for a possible refund or credit. Any of these refunds or credits may be considered at the sole discretion of Altered Music but are not guaranteed.

No refunds are possible once the Camp has started, even in the case of illness or early departure.
7.3 Participants who do not show up for the Camp without prior written notification will not be eligible for any refund and will be excluded from future camps.
7.4 Altered Music / Songscape is not liable for refunds if the Camp is cancelled, postponed, or rescheduled due to events beyond our reasonable control, including but not limited to:

Natural disasters, extreme weather, or health emergencies;

Acts of war, terrorism, or civil unrest;

Government regulations or travel restrictions;

Venue closure, technical failure, or other unforeseen circumstances.
7.5 Minimum numbers / viability: We may require a minimum number of participants for the Camp to run. If we do not meet the minimum, we may cancel the Camp and give you the choice of refund or transfer to a future session.
8. Risk Assumption
You understand and accept that participation in the Camp involves certain risks, including risk of physical injury, emotional distress, loss of property. You assume all such risks, even if arising from our negligence, to the maximum extent permitted by law.
9. Governing Law & Dispute Resolution
9.1 Applicable law: These Terms & Conditions are governed by the laws of Belgium (including EU law where applicable).
9.2 Jurisdiction: Any dispute arising from or relating to these T&Cs or your participation in the Camp shall be subject to the jurisdiction of the courts of Tongeren.
10. Miscellaneous
10.1 Severability: If any clause or part of these T&Cs is found to be invalid, illegal, or unenforceable under applicable law, that part shall be severed and the remaining provisions shall continue in full force.
10.2 Entire agreement: These T&Cs, together with any booking confirmation or other agreement in writing, constitute the entire agreement between you and us concerning the Camp, and supersede all prior or contemporaneous understandings, proposals or agreements.
10.3 Waiver: Our failure to insist on strict performance of any provision of these T&Cs does not waive our right to insist on that provision in the future.
10.4 Amendments: We reserve the right to amend these T&Cs from time to time; any such amendments will be posted on our website and will apply to future registrations. If the changes are material, we will endeavour to notify registered participants.
